Hello,

I'm very grateful for the possibility to use SoSci in my research.

My research is longitudinal involving 26 days of daily-diary type intervention. Each day participants receive a letter/reminder with the case sensitive personalized link to the next step. So far everything has been going well, however, today I received letters from two participants noting that they did not receive the next letter with a link. I tried to use the function "prepare sending" specifying a participant, that is, writing an email address of the participant. However, the system says that the recipient is unrecognized (even though the system was sending letters to the participant before).

Thus, my question would be what I could do in such a situation in order not to lose the participants (the study lasts quite a long period and it is difficult to attract motivated participants, thus each of them is very valuable).

My second question is related to the possibility to see the list of recipients to whom the message with a link was sent. I noticed that I can see the e-mail of participants to whom the message is planned to send, so maybe there is a possibility to see the e-mails of participants to whom a message was already sent?

You checked the address list as well, did you? Could it be that the respondents have deleted their email addresses? If they used the respective link in the email, you should see that below the address list.

If you click an address entry, you can see which mails they have got and the respective links (that you can copy/paste and send them directly, if necessary).

Thank you for your answers.

Today I made a panel contract to have a possibility to see the e-mail list (I wanted to avoid it, but the situation with missing messages have to be solved). Those emails of participants who stopped getting the messages were marked with flashing red sign (invalid e-mail address), thus I chose "Reset delivery status" and hope that the messages will be sent.

You know that YOU need the contract in order to collect email addresses in accordance with the GDPR. So this is something not to delay :)

You have to go into the address entries and reset the error status.

You will also have to manually re-send the missing mails. Only new mails will be sent automatically, not those that have already been tries to be sent.

I was not going to collect email addresses, for this reason, I did not make a panel contract earlier. However, those mailing errors forced me to look for the addresses in order to solve the errors.
And I re-send missing mail manually. Thank you again for your help.

You are collecting them - on our server, even if you don't access or download them. By law, you are still collecting them :)

Thanks for the explanation. I thought that if I cannot see the email addresses than it means I'm not collecting them and do not need the contract. Possibly I misunderstood the manual or should read it more carefully :).

The last question - in the emails list there is a possibility to delete the addresses. Could I delete those, that are duplicated or I see that a person did not logged in long ago and it means that he/she will not be longer participating in the research although they did not deleted their emails by themselves? I red the contract, but the part about emails' deletion was not so clear to me.

The contract (DPA) is mostly independent from the technical functions.

If you delete an address entry, it will actually be deleted - and URLs in emails sent to this contact will also become invalid. But except from that, you can delete address entries that are inactive and shall receive no more mails.
